Job Description
The Client Experience Manager is responsible for ensuring a seamless, professional and premium on-site experience for clients, visitors, partners, employees and event participants. At KPMG Luxembourg, Facilities acts as the operational backbone for on-site hospitality, event logistics and personalized client experience. This role is therefore positioned as a key coordination role between Client Reception, the Building and Staff Services teams, Internal stakeholders such as Event Team and M&C and the internal caterer. The role goes beyond Food & Beverage coordination. It ensures that the full visitor and participant journey is smooth, client-centric and consistent: from arrival, welcome, room readiness and service flow to catering quality, cloakroom, signage, on-site support and issue resolution. The role combines driving hospitality standards, team coaching, operational coordination, stakeholder management and continuous improvement.
To elevate the client, visitor and employee experience by delivering high-quality hospitality, seamless on-site logistics and consistent service standards across the workplace environment, meetings, trainings and events. The role contributes to making KPMG Luxembourg’s premises a professional, welcoming and client-centric environment, where every interaction reflects the firm’s standards of quality, care and efficiency.
What you will be working on
- Oversee the end-to-end client and visitor experience, ensuring a professional, welcoming, and seamless journey from arrival to departure.
- Coordinate closely with Reception to manage visitor flows, meeting room access, VIP requests, and guest issue resolution.
- Gather and act on guest feedback while maintaining KPMG’s standards of professionalism, discretion, and client service.
- Serve as the main point of contact for catering requests related to meetings, trainings, and events.
- Coordinate menus, dietary requirements, logistics, room setups, and service delivery, ensuring quality, compliance, and cost efficiency.
- Advise stakeholders on the most suitable catering solutions based on event needs and budgets.
- Manage relationships with catering and hospitality vendors, monitor service quality and performance, and drive continuous improvement initiatives.
- Support F&B budgeting and cost control, maintain hospitality documentation, monitor consumption trends, and contribute to sustainability efforts.
- Enhance hospitality processes and service standards, identify operational improvements, support new tools and ways of working, and help deliver an outstanding workplace and client experience.
What we look for
- 3–5 years of experience in hospitality, hotel operations, corporate reception, event coordination, client services, or corporate F&B.
- Experience working with caterers, reception and facilities teams, service staff, and event operations.
- Exposure to professional services, corporate, or premium hospitality environments is an advantage.
- Strong customer service focus with excellent organizational, communication, and stakeholder management skills.
- Ability to manage multiple priorities, coordinate across teams, and perform effectively in a fast-paced environment.
- Strong problem-solving skills, with the ability to anticipate needs and adapt to last-minute changes.
- Good understanding of event logistics, hospitality operations, service standards, and room setup requirements.
- Proficient in Microsoft Office; experience with booking, ticketing, or project management tools is a plus.
- Fluent in English and French; additional languages are an asset.
