Job Description

We’re looking for a Client Services Agent to join our Operations team!

This is an exciting opportunity for a service-minded and detail-oriented individual who thrives in a fast-paced, client-focused environment. As a key point of contact at our front desk, you will help deliver first-class service to our clients, guests, and colleagues, ensuring smooth day-to-day operations and a professional welcome to everyone who walks through our doors.
 

What you will be working on

  • Client Reception & Communication
  • Greet and welcome guests with a professional and friendly approach.
  • Handle incoming calls through the reception switchboard and manage the shared Client Services mailbox.
  • Act as a key point of contact for both clients and internal stakeholders, ensuring smooth communication and excellent service.
  • Meeting & Event Coordination
  • Manage meeting room bookings and ensure proper setup and availability.
  • Organize small catering services for internal meetings and client events.
  • Coordinate with external suppliers and service providers when required.
  • Operational & Administrative Support
  • Collaborate closely with the Facilities department to support daily office operations.
  • Address inquiries and ensure timely problem resolution, even in fast-paced or stressful situations.
  • Maintain confidentiality and a high level of professionalism in all client interactions.

What we look for

✔ Previous experience in a client-facing, reception, or administrative role, ideally within a corporate or professional services environment.
✔ Excellent interpersonal and communication skills, both written and verbal.
✔ A natural team player who thrives in collaborative settings.
✔ Strong organizational and multitasking abilities, with keen attention to detail.
✔ Ability to remain calm and effective under pressure, while managing conflicting priorities.
✔ Solid knowledge of Microsoft Office tools and comfort with scheduling and communication platforms.
✔ Fluent in English and French; knowledge of German or Luxembourgish is considered a plus.
✔ A professional attitude, discretion, and a passion for delivering high-quality client service.
