As an Employee Services Specialist, you will support employees throughout their journey at KPMG Luxembourg, from onboarding to offboarding. You will deliver accurate and timely HR administration, maintain high-quality employee data and act as a trusted point of contact for employees and internal stakeholders.

Working within the People Services team, you will collaborate closely with Payroll, Recruitment and Talent Business Partners. Your contribution will help ensure a smooth employee experience while maintaining compliance with internal policies and Luxembourg requirements

What you will be working on

 

  • Prepare employment contracts, addendum, trainee agreements and leaver documentation, ensuring that all information is complete and accurate.
  • Manage employee lifecycle data in the HR system and perform regular data-quality checks and reconciliations.
  • Administer holidays, sickness, overtime, maternity and parental leave, extraordinary leave and other absences.
  • Coordinate accurate and timely employee instructions with Payroll and manage social security affiliations and disaffiliations.
  • Support visa and work-permit processes, guiding future colleagues and keeping Recruitment informed of progress.
  • Act as a key contact for employee queries, providing clear guidance on HR processes, documentation and time management.
  • Contribute to newcomer sessions, medical check-ups, vaccination campaigns and other People & Culture initiatives.
  • Prepare HR metrics and information for Talent Business Partners and other internal stakeholders when required.
  • Ensure compliance with internal controls, audit requirements, GDPR and applicable Luxembourg regulations.

What we look for

  • Bachelor’s degree in human resources, business administration, languages or a related field.
  • 3 to 5 years of relevant experience in HR administration or employee services.
  • Good knowledge of Luxembourg labour law and employee administration; basic payroll knowledge is an advantage.
  • Strong command of MS Office; experience with SAP SuccessFactors is a plus.
  • Fluent English and French. Any other EU languages would be an advantage.
  • You are organised, detail-oriented and comfortable working with sensitive information.
  • You communicate clearly, meet deadlines and remain composed when priorities change.
  • You bring high ethical standards, sound judgement and a collaborative, service-minded and solution-oriented approach.
