Job Description

We are seeking an experienced Fund Administration Manager
This role will be responsible for overseeing the administration of investment funds, ensuring compliance with regulatory requirements, managing investor relations, and coordinating with internal and external stakeholders. The ideal candidate will have expertise in fund accounting, reporting, and fund structures, along with strong management skills to coach and develop team spirit.

What you will be working on

Fund Administration & Operations

  • Oversee the administration of alternative investment funds, including fund structures such as open-ended and closed-ended funds.
  • Ensure timely and accurate NAV calculations, investor reporting, and fund financial statements.
  • Coordinate capital calls, distributions, and fund expenses in line with fund documentation and regulatory requirements.
  • Work closely with fund accountants, custodians, legal teams, and third-party service providers.

 

Financial Reporting & Consolidation

  • Ensure the preparation of quarterly and annual financial statements, including financial consolidations of complex real estate structures.
  • Manage group-level reporting, eliminations, and intercompany reconciliations.
  • Support year-end audits and liaise with external auditors.

 

Compliance & Regulatory Oversight

  • Ensure compliance with fund governance, regulatory requirements, and internal policies.
  • Stay updated on relevant financial regulations, tax implications, and industry best practices.
  • Support fund audits and regulatory filings.

 

Investor Relations & Reporting

  • Manage investor onboarding, KYC/AML processes, and capital commitments.
  • Prepare investor reports, performance analysis, and respond to investor inquiries.
  • Maintain accurate records of investor transactions and fund performance metrics.

 

Process Improvement & Technology

  • Identify opportunities for automation and efficiency improvements in fund administration.
  • Implement best practices and assist in system upgrades or transitions.

 

Management & Team Development

  • Demonstrate strong management skills and the ability to coach and develop team members.
  • Foster team spirit and collaboration within the department.
  • Oversee budget management, work-in-progress (WIP) tracking, and invoicing processes.

What we look for

  • Master’s degree in Finance, Accounting, Business, or a related field.
  • 5+ years of experience in fund administration.
  • Strong knowledge of fund structures, NAV calculations, and investor reporting.
  • Familiarity with regulatory frameworks such as AIFMD and CSSF.
  • Proficiency in fund accounting systems (e.g., eFront).
  • Excellent analytical, organizational, and communication skills.
  • Ability to manage multiple tasks and work with cross-functional teams.
  • Background in real estate investments and expertise in fund consolidation, IFRS, and INREV reporting is a plus.
